Add item locations to Sierra

  • Add the location to the Branches Table by selecting Admin > Parameters > General > Branches

    • Find where the new location code would fit in alphabetical order, highlight the line above where the new code will go, and click the Insert icon.

    • In the window that pops up, enter the new code (e.g. “kcurp).

    • Enter the Circulation Address Number. This number refers to an address in the Branch Addresses table that appears on circulation notices. This number may be copied from another item location entry that circulates similarly.

    • Enter the Branch Name. This is the full name for the code (e.g. KEN Current Periodicals).

    • For the Public selection, enter “true” or “false”, depending on whether or not this location is to be displayed in location limit filters. Again, this can be copied from another location code that circulates similarly.

    • Click Save.

 

  • If the new item location is for items that are not requestable, it will need to be added to the Rules for Requesting table under the ASAA function.

    • If a new code is to be added, find where it fits in alphabetical order, and add a new code that aligns with the other examples. (e.g. “v|i| |79||=|kcurp||”)

 

  • If items in this location are to be circulated, add it to the Loan Rule Determiner table. You may need to get information from requester to determine how the new location is to be circulated.

    • Admin > Parameters > Circulation > Loan Rule Determiner

    • Find the place that you’d like to insert the new item location (alphabetical placement can be helpful). Highlight the entry that you’d like to appear below your entry and click Insert.

    • In the window that pops up, add:

      • Item Location

      • Patron Type

      • Item Type

      • Rule Number

      • Select Yes or No for Active

  • It may be necessary to add multiple entries in the Loan Determiner Table to enable multiple rules. It may be helpful to model Loan Determiner settings after another item location that is circulated in a similar manner.

  • Note that Sierra reads this table from bottom to top.

  • Once all entries are added, click Save and Close.

 

  • Loan Rules Table  [DO NOT DELETE OR REORDER!]

    • Admin > Parameters > Circulation > Loan Rules

    • If a loan rule needs to be created for this item location, it may be necessary add an entry to this table. Please note that to add a loan rule, either an “unused” rule will need to be converted, or an entry will need to be added to the end of the list. Loan rules must not be deleted or reordered!

 

  • Add the item location to the Locations Served table

    • Admin Corner > Additional System Functions > Alter System Parameters > Circulation Parameters > Locations Served

    • Review each location served for the desired institution to determine where the new location needs to be added. Again, this could be modeled after another item location with similar circulation parameters.

 

  • Days closed

    • Changes here would only apply to entire facilities. This will not likely need to be changed.

 

  • Hours open

    • Changes here would only apply to entire facilities. This will not likely need to be changed.

 

  • Statistical Group Maintenance

    • Changes here would only apply to entire facilities. This will not likely need to be changed.

 

  • Location mapping table

    • Admin Corner>Additional system functions>Maintain record links>Update locations in bibliographic records>Examine location mapping table

    • Determine the bibliographic location(s) for which the new item location should be associated. Once determined, enter the number of the bibliographic location and then add the new item location to the list. If the item belongs to an entirely new bibliographic location that does not exist, create a new bibliographic location first and then associate the item location(s) with the bibliographic location - (this is rare).

    • This may be modeled after another item location. Just ask the requestor if this is the case.

 

  • Open a ticket with Innovative through the Supportal

    • Under the Help Desk, click Add New Ticket.

    • From the dropdown menu, select Five Colleges of Ohio.

    • Enter any additional email recipients to get updates on the ticket.

    • Add a Ticket Title (e.g. New “kcurp” location code request).

    • Enter a Full Description, requesting that the item location is added to the scope for the institution, and to any other INN-Reach Agency tables. (e.g. I'd like to request assistance in adding a new location code, "kcurp". We need to have this code added to the scope for Kenyon College, and any other Inn-Reach Agency tables.)

    • Select an Urgency (defaults to Medium).

    • Under Product Selection, select

      • Sierra

      • WebPac

      • Scoping

    • Click Submit.
