Update Loan Rules in Sierra

When accessing tables within the Admin functions, it is very important that you do not delete or reorder any items from the Loan Rule table, as there may be numerous rules/functions associated with the numbered entries. 

 

  • Confirm the Location, Patron type, and Item type (some or all of this information may be provided by the requester, but if you need to confirm, you can employ the following:)

    • The item Location can be confirmed by reviewing examples of similar items:

      • Select Create Lists from the Function dropdown menu

      • Highlight an empty row and click Search Records.

      • Name the review file (e.g. Denison library key item records)

      • Store Record Type = ITEM i

      • Leave Range as the default

      • Type = ITEM

      • Field = I TYPE

      • Condition = equal to

      • Value = <select the desired item type here>  (e.g. Den library key)

      • Click Search

      • Once list is generated, double-click to review items

      • Double click an item to confirm the location code (e.g. dcirc)

    • Patron types can be confirmed by the following:

      • Click Admin in the Sierra toolbar

      • Select Parameters > General > Patron Type

    • Item types can be confirmed by the following:

      • Click Admin in the Sierra toolbar

      • Select Parameters > General > Item Types

  • Make a note of these before proceeding (e.g. a Denison student’s library key would have the following location, patron, and item type: dcirc | 0 | 18 )

  • Access the Loan Rule Determiner in order to determine the Rule Number

    • Click Admin in the Sierra toolbar

    • Select Parameters > Circulation > Loan Rule Determiner

  • Note that the table is read from bottom to top. The Rule Number applied will be the first match found with the three criterion noted above.

    • The table is NOT in alphabetical order

    • Matches may be found with “wild cards” (????? or * - question marks are wild cards for single characters)

  • Once the Rule Number is confirmed, access the Loan Rules table

    • Click Admin in the Sierra toolbar

    • Select Parameters > Circulation > Loan Rules

    • DO NOT DELETE or otherwise change the order of any entry

    • Find the Loan Rule number in the first column. Basic information relating to the Loan Rule is displayed in the columns to the right.

    • Double-click the Loan Rule to enable editing

    • Refer to the Sierra Loan Rule Manual for additional information on each variable field.

    • Note that “absolute” Normal Loan Period dates (indicated by an “A” in the Code field) are reflexive of Julian calendar dates.
